Privacy Policy
AI Executive Assistant ("the assistant") is a personal productivity assistant operated via Telegram. This policy explains what data it accesses through your connected Google account, how that data is used, and how you can revoke access at any time.
Who this applies to
This assistant is used by a small, invited set of individuals for their own personal and work productivity. It is not offered as a public consumer product.
What data is accessed
When you connect your Google account, the assistant requests the following permissions, used only to perform the actions you ask of it:
- Calendar — read, create, update, and cancel events on your calendar, to manage your schedule.
- Gmail — read recent messages (subject/sender/date/snippet) when you ask to check your inbox, and send email on your behalf — but only after you explicitly confirm a drafted message.
- Google Drive — create documents and folders inside a dedicated assistant folder in your own Drive, and save, retrieve, or delete files there when you explicitly ask — never elsewhere in your Drive.
- Google Sheets — read and write entries in your own task list and time-tracking sheet.
- Basic profile — your email address, to identify your account.
How your data is used
All data accessed through these permissions is used exclusively to carry out the specific action you request in your conversation with the assistant (e.g. checking your calendar, drafting an email, logging time). Your data is never sold, shared with third parties for advertising, or used to train machine learning models.
What is stored, and where
To function between conversations, the assistant stores: your Google OAuth tokens (encrypted at rest), your Telegram identifier, your timezone and display name, a short rolling window of recent conversation history (for context), and any facts or reminders you explicitly ask it to remember. This data is stored on a private, self-hosted server operated by the assistant's developer — it is not shared with any other service or company.
Meeting recording (optional feature)
If you ask the assistant to join and record a live meeting, it uses a self-hosted bot (Vexa) to join the call and a self-hosted speech-to-text engine to produce a transcript, entirely on the same private server. No audio or transcript is sent to a third-party transcription service.
Data retention and deletion
You can disconnect your Google account and delete your stored data at any time from the assistant's profile screen inside Telegram, or by asking the assistant directly. Deleting your account removes your stored tokens, profile, and associated data from the server.
Security
OAuth tokens are stored encrypted. Access to your data is scoped strictly to your own account — the assistant's tools are designed so that one user's personal calendar, mail, and files are never visible to another user, including teammates using the same assistant.
